Skate Canada Registration

The following is extracted from on-line reference materials at the Skate Canada site, and adapted for Skate Canada Newfoundland and Labrador needs. For the latest information on registration, please check the Skate Canada members only web site.

The following information must be provided to Skate Canada annually. All of these forms can be found on-line in the Members Login area.

Club Executive and Purchasers Listing - the online process for providing Skate Canada with your club executive listing and club purchasers is updated in our database within 2 business days. All club executive members MUST be registered with Skate Canada. By inputting this information online, these members will automatically be updated in your club's registration listing. For any NEW executive members, simply add, update and submit their information in the Member Registration and Update area and within 2 business days, you will have a registration number for these NEW members and you can then add these members to the club executive listing. These members will not be registered twice. The Club Executive and Purchase Authority listing may also be updated directly on the form provided and faxed or mailed to the Member Services Department for updating. Only members who have been authorized by the club to purchase may do so on the club's account.

Member and Club Registration - follow the instructions provided below

Skate Canada Professional Coaches Listing - all Professional Coaches teaching at the club whether full-time or part-time, club coach or freelance, must be included on this list. This information can now be entered online by selecting Member Registration and Update from the Main Menu and then from the Sub Menu select Club Information Update.

Club Constitution - club constitutions need to be reviewed and updated every 5 years or earlier. This useful tool is important for the smooth operation of the club. A sample constitution is available online or by contacting the Member Services Department at 1-888-747-2372 extension 2519. Please ensure your Section has a copy of your club's most recent constitution.

Synchronized Skating Team Form - Clubs must register their synchronized skating teams annually. A form can be obtained online or complete the form enclosed and send it to Skate Canada by November 1st.

The Skate Canada registration year begins September 1 and runs until August 31. All clubs must register their members annually by September 1 or within two weeks of the start of the first club session of the year.

Who must be registered?

Everyone! Skate Canada clubs need to register everyone participating in any club program unless another Skate Canada Club has registered them. This includes:

How To Register Members

There are three possible methods for registration - online, manual and using MICROFSOFT Access database. The online method is the preferred approach and it is free of charge and is given priority. An annual processing fee of $50.00 has been implemented for processing of MICROSOFT Access files.

ON-LINE REGISTRATION

On-line registration is performed via the Memeber's Only section of the Skate Canada web site - http://members.skatecanada.ca/memberreg/logon.cfm

IMPORTANT: To access the organization's registration listing through the Internet, the 'registrar' must be listed with Skate Canada as an Organization Executive Member for the current Membership Year. Please ensure your Organization Executive/Purchase list has been submitted or entered online. If this information has not been received at Skate Canada, on-line access will cease for your organization effective October 1st.

STEP 1 - LOGGING-ON

To register on-line, you must access the Skate Canada Web Site (www.skatecanada.ca) and select "Members Login" button.

A welcome screen will be displayed listing newly posted information on the Members Login site. Your club should login regularly to see if any new information has been posted. Select CONTINUE to move to the Main Menu.

In order to support drop down lists for selecting provinces and activity types, your browser will install the necessary software to do this. The first time you EDIT a member on your computer, the system may take as long as 30 seconds to display a security window asking you to install and run a script. Select YES. The system will install the application for your browser to support drop down lists. This will only be done the first time you attempt to edit a member's record.

To access your club's registration listing online select Member Registration from the Main Menu. You will then be prompted with a Sub Menu - select "Clubs" and then from the next Sub Menu select "Member Registration and Update". An alphabetical listing of your club members will be displayed.

STEP 2 - GETTING STARTED

Registering Returning Members

1. If the member is returning to your organization and is already on your listÉ

Note - use this quick reference guide to primary and secondary activities to ensure your members are registered correctly.

2. Select the UPDATE button to accept any changes made to the member's record. NOTE: you must select the UPDATE button prior to registering a member if any modifications have been made. If no personal information has changed and you wish to register the member, select the REGISTER button only

3. Select the REGISTER button to register the member. The system will return you to the registration list and flag the member's record as Registration Requested with a Y.

4. Select the next member who is returning to your organization. Continue to register members who are returning for the 2005-2006 membership year.

Do not update any member NOT returning to your organization and not registering for the current membership year. These members will be removed from your listing online later in the season.

If a member's record has been requested to be registered in error, simply select the REMOVE REGISTRATION REQUEST button on the member's record prior to selecting SUBMIT TO SKATE CANADA. This will remove the "Y" from the Registration Requested field and return you to the organization's registration listing.

If the member has already been registered (submitted to Skate Canada) deletions are not permitted.

Transfer Members or Members who were previously registered with Skate Canada

Members previously registered with Skate Canada through another organization or individuals renewing their membership after a lapse must be registered as TRANSFERS. They should already have a Skate Canada registration number and are now declaring your organization as their HOME organization. If you do not have a registration number for a transferred member, you will need to enter this member as a NEW MEMBER or contact the Member Services Department.

1. Select the TRANSFER MEMBERS button

2. Enter the 10-digit Skate Canada registration number and select the LOCATE MEMBER button. Verify the member's general information. If it corresponds with the member you wish to register (last and first name and date of birth), select the TRANSFER button

3. You may now proceed with updating the member's personal information. Once the information is updated, select the UPDATE button and then the REGISTER button to transfer this member into your organization for the current season.

If the name is not correct or should the number be invalid, select the CANCEL button and try again. If you select the CANCEL button a second time, the system will return you to the registration listing.

New Members

1. For new members, select the NEW MEMBER button from the registration list screen.

Insert the member's complete name (last name, first name, and middle name), full address and birth date (MM/DD/YYYY). Select the appropriate member language and gender. Ensure that the head of household, direct mail, phone and fax numbers are entered (000-000-0000) as well as their e-mail address. The primary activity is defaulted to CanSkate, please ensure the correct primary activity and secondary activity (if applicable) is selected.

Use the head of household field to indicate the most senior member of any one family registered with the Association. Select the direct mail field to enable the member to receive information from Skate Canada. If this field is not selected, ÔNo' will automatically be entered.

2. Select the UPDATE button to add the member's information.

3. Select the REGISTER button. The system will update the member's Registration Requested with a "Y" and return you to the registration listing. You can then select ANOTHER NEW MEMBER once this step has been completed.

HINTS:

If you have entered an invalid birth date or postal code, a clear message will be displayed at the top of the screen in red.

If at anytime you wish to return to the Registration Listing, select the LIST button found on the individual member's record.

STEP 3 - TO COMPLETE THE ON-LINE REGISTRATION

Once you are satisfied that all members have been registered:

1. Select the REGISTRATION SUMMARY button. (The first registration submitted to Skate Canada for the 2005-2006 membership year will include the organization fee and insurance fee if applicable). For each registration session, the number of members registered and the fee and insurance charges will be displayed.

2. Select VIEW MEMBERS to view the members you have registered during this session. (You may print the listing by selecting FILE - PRINT.) Verify that the information displayed is correct. You will not have the option of viewing these members again once the registration has been submitted.

3. If correct, select the REGISTRATION SUMMARY button. The system will return you to the Registration Summary Screen.

4. If the information is not correct, select FULL LIST and you will be returned to the Registration Listing. Make the appropriate corrections.

5. Once you are satisfied with this registration session, select the SUBMIT TO SKATE CANADA button.

A confirmation screen will be displayed. Please print two copies of the form; one for the organization records and one to be forwarded to Skate Canada National Office along with the appropriate fees.

Once you have selected the SUBMIT TO SKATE CANADA button, you will not be permitted to amend information on this registration session.

6. Select the LOG-OFF button to exit.

SEARCH BUTTON

Searching a member is permitted within your organization's membership listing. You are able to search using different criteria such as the last name, the first name and the registration year. It is not necessary to type a member's full last name. You can search for all members who have a last name beginning with D by typing the letter D in the last name field and selecting SEARCH. If you have begun the registration process for your club and would like to see what members are "pending registration" simply type Y in the registration requested field and select SEARCH. You will then be given a listing of all of the members that are pending registration.

NEXT BUTTON

This button moves you to the next page of the organization registration screen.

PREVIOUS BUTTON

This button moves you to the previous page of the organization registration screen.

SKATE CANADA MEMBERSHIP CARDS

Membership cards will be available for printing on-line within 2 business days of your on-line submission. To print your organization's membership cards log into the Members Login area and from the Main Menu select Member Registration/Clubs or Schools/Print Membership Cards. The membership cards will be sorted for printing by each registration submission received from your club. Once you have printed a submission, use the BACK button on your browser to return to the previous page in order to select another submission for printing. Registered members can also print their Skate Canada Membership Cards. Simply provide your members with the step-by-step instructions on printing membership cards included in your club registration material.

MANUAL REGISTRATION

Should your club choose to use a manual registration, please contact the Member Services Department to request a copy of your club's registration listing for the previous season and the instructions regarding manual registration.

MICROSOFT ACCESS DATABASE

If you are interested in submitting your registration via MICROSOFT ACCESS database, contact the Member Services department for file specifications. Please note that a fee of $50.00 will apply for processing MICROSOFT ACCESS database registration.
