Test Chair Handbook
Test Chair Checklist :
Four to Six Weeks before Test Day:
- Request from Coaches tentative numbers and levels of tests.
- Book ice.
- For Low Test Days, contact an Evaluator from the Section Judge/Evaluator List.
- For High Test Days, contact the Section Judge/Evaluator Chair to request a qualified evaluator/judge.
- Post date and location of Test Day to inform skaters, coaches and parents.
- Indicate Deadline Date (14 days before Test Day).
Two to Four Weeks before Test Day:
- Collect Test Applications and Fees. Adhere to Deadlines. The Closing Date (and Pull Date) is two weeks prior to the Scheduled Test Day. Late entries after Closing Date can only be accepted by the Judge/Evaluator. The Judge/Evaluator can refuse to try a test, if they were not informed prior to the Test Day.
- Determine Tests and Levels and start your Schedule, taking into consideration your availability of judges/evaluators, partners, conditional tests and skaters who are trying multiple tests. (See Test Chair Handbook)
- Confirm with Judge/Evaluator start and finish time, transportation, accommodation, food preferences, other evaluators attending the test day, and trial evaluators.
- Gather a Committee: Test Chair, Ice Captain, Music Person. Hospitality, Runner.
Day before Test Day:
- Ensure all Judge/Evaluator Test Sheets and Test Summary Sheets have been prepared.
- Have a good night's rest. Tomorrow will be a big day!
On Test Day:
- Ensure all Judging Sheets are available when the Judge/Evaluator arrives.
- Complete Summary Sheets as tests are completed.
- Verify accuracy of all information and the final results on all sheets.
- Once the Summary Sheet is signed by the Judge/Evaluator, the bottom half of the Test Sheet can be given ONLY to the skater, a skater's coach or skater's parents.
- Attach expense claim form to Judge/Evaluator's clipboard and prepare to pay mileage (currently $0.40 per km) before the completion of the Test Day. (An Evaluator should never have to ask for reimbursement.)
- Keep the Test Day Schedule and Floods on time.
- Provide schedules for Evaluator, Music room, Ice captain and Dressing rooms.
- Ensure that the Evaluator is warm (heater, hot seat, and blanket) and fed (snacks and meals at appropriate times). Provide breaks. If a Test Day runs til 5 p.m., provide a meal for the Evaluator unless he/she has chosen to take a per diem for an appropriate meal on the way back home. The judge/evaluator should not be expected to evaluate for long hours. If the Judge/Evaluator has a positive experience at your Club they are more likely to return. The key to success is “ Treat the Judge/Evaluator as you would a guest in your home”.
- A Thank-you card and a gift for the evaluator is appreciated and should be age appropriate.
Gift certificates might make your search for the right gift less stressful.
Within one week (up to three weeks) after Test Day:
- Send copy of Summary Sheets and Fees to Skate Canada.
- Send copy of Summary Sheets to the Section Judge/Evaluator Chair at Section Office.
- Keep Copy of Summary Sheet and Top of Test Sheet on file at host club. If hosting a Test Day, where there are skaters from other Clubs, send a copy of the Summary Sheet containing the skater's name with the Top of that Skater's Test Sheet to his/her Club.
